ofi Specific Privacy Statement in relation to the use of Workplace

 

This Specific Privacy Statement sets forth the modes of collection, utilisation and disclosure of your information gathered through the Workplace application. It should be read together with the olam food ingredients (hereafter referred to as “ofi,” “us,” or “we”) Privacy Statement available on www.ofi.com/privacy.html and is supplemental to it, being a “Specific Privacy Statement” as defined therein. It is also supplemental to “Workplace Privacy Policy” available on the following link. 

 

It is ofi’s policy to comply with all applicable privacy and data protection laws. ofi will collect and use your data only for specified and legitimate purposes, process it in a manner consistent with such purposes, take reasonable steps to ensure that your data is accurate, complete and kept up-to-date (where necessary) and take appropriate measures to provide adequate protection for your data.

 

 

What data do we collect?

 

We may use your personal data already available with us which may include the following:

 

•  your contact information, such as full name and email address;
  
  
• your work title, department information and other information related to your work;
  
  
• the content, communications, and other information you provide when you use the application, including when you sign up for an account, create or share content, and message or communicate with others. This can include information in or about the content you provide (such as metadata), such as the location of a photo or the date a file was created;
  
  
• content, communications, and information that other people provide when they use the application. This can include information about you, such as when they share or comment on a photo of you, send a message to you, or upload, sync or import your contact information;
  
  
• all communications with other users of the application;
  
  
• user communications, feedback and suggestions;
  
  
• billing information; and
  
  
• information that you provide when you or ofi contacts or engages platform support regarding the application.

 

 

For what purposes do we use your data?

 

We may use your personal information in the following ways:

 

• sharing content, and message or communicate with other users of the application;
  
  
• communicating with users and administrators regarding their use of the application;
  
  
• enhancing the security and safety of the application and other users, such as by investigating suspicious activity or violations of applicable terms or policies;
  
  
• personalizing your experiences as part of the application;
  
  
• developing new tools, products or services within the application;
  
  
• to identify and fix bugs that may be present; and
  
  
• conducting data and system analytics, including research to improve the services offered

 

 

What is our legal basis for collecting and processing your data?

 

This data is collected and processed, only to conduct our business and pursue our legitimate interests as required by ofi and our affiliates and to comply with legal obligations.

 

 

Who will we share this data with?

 

Olam Technology and Business Solutions (OTBS) employees, which is a third party service provider for ofi, may view, comment, or access your information on Workplace. Similarly, ofi users may also be able to do the same with OTBS employees’ information. This is to improve collaboration between the two companies. We may share your data with other members of the ofi group, including any ofi affiliates, to achieve the purposes described above. We may also share your data with government authorities and/or law enforcement officials if mandated by law, and any current and future customers, service providers, suppliers and business partners of ofi in pursuing the purposes described above or otherwise with your consent (if required by applicable law).

 

 

Where will we send your data?

 

Other than sharing with our third-party processors for the purposes listed above, from time to time your data may be transferred to our affiliates in another country. We will take reasonable steps to ensure that your data is adequately protected in accordance with the relevant data protection legislation which resides over processing of data in that country. If you are based in the EEA, where your personal information is transferred outside the EEA to an affiliate or an entity in a country that is not subject to an adequacy decision by the EU Commission, your personal data will be protected by EU Commission approved cross-border safeguards including standard contractual clauses for cross-border data transfer.

 

 

What measures do we have in place to protect your data?

 

ofi maintains reasonable safeguards to protect the confidentiality, security, and integrity of your data. Although we use security measures to help protect your personal information against unauthorised disclosure we cannot guarantee the security of information provided over the Internet.

 

 

 

How long will you retain my data?

 

Except as otherwise required by law, ofi will retain your personal data in accordance with  applicable data protection legislation but in any case, for such period that is necessary for the purposes for which the data was collected. ofi will share the retention period of your personal data upon your request.
